Connecting Y Meadows and HubSpot

Hubpot uses the concept of Private Apps to allow API access by Y Meadows. This works by doing some configuration in Hubspot to allow (or limit) access to different components of the application. The final outcome of that is that a secret key will be generated that can be used by Y Meadows to connect to and interact with Hubspot.

This instruction is in 2 parts. First, the setup in Hubspot and then the setup in Y Meadows.

Setting up a Private App in Hubspot

In order to perform the procedure a super-admin login is required

In the top menu bar click on the gear icon to access Settings

Then navigate to:

  1. Integrations

  2. Private Apps

  3. Create a private app

Fill in the basic information about the new Private App:

  1. Use a name that will make it clear what the app is for. “Y Meadows Integration” is a good choice.

  2. The description will help people who are unfamiliar with the application know why it was created.

  3. To customize the icon use the following image. (Hover over the “YM” until the upload icon appears and then click on the icon to start the upload) Note: right click on the Y Meadows logo and choose “Save Image As” to copy it to the desktop.

The final step is to use the Scopes tab to give Y Meadows permission to interact with your HubSpot data. The scopes shown below cover the full range of Y Meadows steps that can interact with HubSpot. When only a subset of capabilities are required it may be acceptable to choose fewer scopes. The scopes for the Private App can be edited at any time.

Here are the suggested Scopes for the Y Meadows integration. In some instances write access may not be required, depending on the specifics of what YM is doing for your company.

After selecting the required scopes use the orange “Create app” button in the top-right corner of the screen

A pop-up dialog box will open that contains important security information. Note that the security token that is about to be generated does not need to be stored outside of HubSpot as it can be retrieved at any time. Click on “Continue creating”.

A new pop-up dialog box will open that contains the security token that will be needed to configure Y Meadows. At this point either send the token to the Y Meadows integration specialist that is configuring Y Meadows for you or proceed to the second part of these instructions to configure Y Meadows. When ready, use the “Copy” link to copy the token to the clipboard.

Part 2: Configuring Y Meadows

A use with admin permissions is required to perform the following steps in Y Meadows

In Y Meadows a new “Connection” needs to be created. That connection can then be used by Steps in the various Journeys that get created. The only time the secret token is visible in Y Meadows is when the connection is being created. After that, it will not be retrievable from the Y Meadows user interface, even with admin permissions.

To begin, choose the “Components” item from the left navigation bar. It looks like a small puzzle piece.

Then, click on the “Connections” tile

From the next page, which shows a list of existing connections, if any, click on the “+ Connection” button in the top right of the screen.

This opens a pop-up dialog where the type of connection needs to be chosen. Use the search feature to search for HubSpot and choose the “HubSpot (via API Key)” connection type by clicking on it.

A new window will open where the connection can be configured.

  1. Give the connection a name that will help identify it in the future

  2. Add a description with any relevant information

  3. Get the API token from the Hubspot Private App that was created earlier and copy/paste it into the API Key field

Click on the Save button to complete the process.

After the save button has been pressed, if an API key has been newly added, that key will remain visible in the UI. This is the only time that the API key is visible. To see this inaction, refresh the page and the secret information is replaced with •••••• and the key can not be accessed in the UI at any future time

The Connection is now ready for use in Y Meadows steps that interact with the HubSpot account that contains the Private App.
